Choose transport from the asset and the loading conditions, then ask the carrier to confirm suitability. A cheap vehicle quote is of little use if the equipment cannot be loaded, secured or unloaded through the proposed arrangement.

The vehicle type is only part of the answer. Packaging, lifting provision, access, weather protection and the receiving site can change the service needed.

When a pallet service may fit

A pallet network may be an option for goods that meet the particular carrier's accepted dimensions, weight, packaging and handling requirements. Obtain those requirements from the provider before booking.

Confirm whether the quoted service includes a tail lift or any other handling assistance. Ask about collection surfaces, access, pallet condition and restrictions. Do not assume a carrier will dismantle machinery, move it from deep inside a building or package loose components.

A machine sitting on an old pallet is not automatically suitable pallet freight. Its stability, support and handling arrangement need an appropriate assessment.

What a flatbed changes

A flatbed can offer access for particular loading arrangements, but it does not itself supply a safe lift or load-security plan. Establish the equipment and competent people at both ends of the journey.

Weather exposure also needs consideration. Decide with the carrier how protection will be provided where needed, including whether protection can be fitted safely.

The exact asset configuration matters. A loose accessory or fragile projection can require a different arrangement from the main machine. Include those items in the enquiry rather than adding them when the driver arrives.

When specialist movement needs assessment

Fixed, heavy, unusually shaped or access-constrained equipment may need a specialist movement service. That could involve a site survey, internal movement, dismantling interfaces or particular loading resources.

Describe the problem and let a competent contractor assess the method. The machinery movement quote guide lists the evidence to provide. It avoids guessing a vehicle or lifting capacity from an equipment photograph.

For lifting operations in Great Britain, HSE guidance sets out the need for appropriate planning and competence. A transport booking should reflect that plan where lifting is involved.

Use one brief for every option

Brief item Information to provide
Asset Identity, current configuration, verified dimensions and weight evidence
Packaging Present state, proposed packaging and the party responsible
Collection Exact start point, access route and loading provision
Destination Receiving access, unloading provision and required placement
Time Ready date, permitted access windows and booking restrictions
Protection Fragility, weather sensitivity and known handling restrictions
Exceptions Missing information or tasks excluded from the quote

Use the site access survey to support the brief. Send the same current version to each provider so comparisons have a common basis.

Confirm the handovers

HSE's delivery-cooperation guidance addresses information exchange between the parties in the collection and delivery chain. Agree who provides equipment, who controls the loading area and how the driver receives instructions.

The loading responsibility guide helps record those interfaces. Do not assume that the collecting driver's presence transfers every onsite responsibility to the carrier.

Discuss the proposed collection arrangement with UK Auction Group before confirming it. A clear brief allows the sale organiser and site contact to identify a mismatch while there is still time to change the booking.
