Selling a farm tractor: assemble the machine's working history

A useful tractor sale file connects the machine in the yard with the records in the office. Start with its identity, then assemble a dated working history and a clear account of what is included. A pile of invoices is less helpful when nobody can tell which tractor they concern.

Take a legible photograph of the identification plate and record the model, serial number and your asset reference. If records use an old fleet number, add a cross-reference. Resolve a mismatch before copying a specification into the description.

Build the file in six parts

1. Identity and configuration. Put plate photographs, the exact model description and available manufacturer information together. Note fitted options that change the description, including transmission, loader equipment and guidance hardware where present. Distinguish documented specification from an owner's recollection.

2. Counter record. Photograph the displayed reading with its label and date. Record which counter it is. If a display has been changed, keep the replacement record beside the current reading. Do not turn the displayed number into verified lifetime hours without supporting history.

3. Service timeline. List the date, machine identifier, counter reading if recorded and work stated on each invoice. Keep repairs separate from routine service entries. An invoice for parts proves a purchase; it may not prove those parts were fitted to this tractor.

4. Current faults. Record symptoms, dates and any diagnosis by a named provider. "Hydraulic warning displayed on 12 September" is more precise than "probably a sensor". Include outstanding actions from reports.

5. Included equipment. Settle the wheels and ballast package and identify the loader, controls and mounting equipment. Items in a photograph should have an explicit inclusion or exclusion.

6. Manuals and handover. List the instructions, keys and documents available, with a separate missing-items list. Deal with precision farming displays and field data before the handover is promised.

Use an index to expose gaps

A compact index helps the valuer find evidence:

These are fictional examples. Use the actual documents and do not improve their wording beyond what they establish.

Decide what needs assessment before marketing

A working history helps explain the tractor, but it is not a safety certificate. HSE's second-hand agricultural machinery guidance covers safeguards, instructions and responsibilities when machinery is supplied for work in Great Britain. Raise missing guards, unclear alterations or unresolved defects with the appropriate provider and organiser.

For driven implements, the PTO records guide sets out which separate identities and instructions need to remain together. Do not demonstrate unfamiliar or defective equipment simply to add a video to the file.

If the tractor will remain in use, date the information pack and agree when it will be updated. Later hours, repairs or changed attachments can make an earlier description inaccurate.
