Selling a guidance display should not hand over the farm's private field records or imply that every service on the screen transfers. Separate the physical hardware, software rights, account associations and stored information before writing the sale description.

Start with model and serial references for the display, receiver and any other included hardware. Record which machine uses them and whether they are owned, hired or shared. Keep the agreed hardware list with the tractor's sale file or the relevant implement record.

Use four separate handover decisions

Layer What to identify Confirmation needed
Hardware Display, receiver, controllers, cables and mounting equipment Exact included items and ownership
Functions and rights Software version, activations and claimed capabilities What is valid, transferable or requires a new arrangement?
Accounts and services Linked organisation, correction service or other subscription Provider-approved release and the buyer's requirements
Stored information Field, task, customer and other business records Retention, authorised export, removal and verification

Do not treat a working screen as evidence for all four layers. A function available to the current owner may depend on an arrangement that needs separate confirmation.

For example, AMAZONE describes optional software licences for AmaTron 4. That is evidence that hardware and enabled functionality are distinct; it is not a transfer policy for every used terminal.

Inventory data before changing anything

Record what information the device and connected services may hold. Ask the responsible business owner which records must be retained and who is authorised to handle them.

AMAZONE's data management page describes machine and site-specific data stored through its task-controller functions. Other systems have different arrangements, so inspect the applicable provider guidance.

Field information may be commercially sensitive without necessarily being personal data. Some records may also identify people or customers. Apply the appropriate business and data-protection controls rather than treating every file as the same category.

The ICO's asset management guidance supports keeping a clear inventory of equipment and information. Use a qualified internal or external provider where the process exceeds your team's knowledge.

Ask the provider a complete question

Send the exact hardware identities and explain the proposed sale. Ask:

  • Which accounts or organisations are associated with the hardware?
  • What authorised process releases those associations?
  • Which functions or entitlements remain with the hardware, if any?
  • What must the buyer arrange separately?
  • How should required business records be retained before handover?
  • What evidence confirms the agreed data and account work is complete?

Keep the response and its date. Do not share the seller's password as a substitute for an approved transfer process. Do not attempt to bypass an account or entitlement restriction.

The machine-control technology handover guide provides a related register for equipment sold with connected systems.

Describe the result, including exclusions

A useful description names the hardware and states the confirmed position for functions and services. It should not promise private field records, an active subscription or permanent access without an explicit basis.

If the terminal also controls an implement, reconcile the seed drill's control inventory before deciding where it goes. A shared display cannot be included with two lots.

Send UK Auction Group the hardware schedule and confirmed transfer position. Keep sensitive records and credentials out of the public description, while making any missing entitlement or buyer setup requirement clear.
