Prepare the buyer's document pack around the actual sold item and agreed scope. Include the relevant information that should accompany it, identify acknowledged gaps and keep the handover traceable. Do not substitute an unfiltered archive for an organised pack.

Start from the internal document index, then decide what belongs in the buyer handover through the appropriate sale, technical and information-handling review.

Create a handover index

The index is not a universal list of legal requirements. Determine the appropriate contents for the actual equipment and transaction with the relevant advisers.

Match documents carefully

Check identifiers before copying files. A manual for a similar model, a report on another serial number or an old configuration can give the buyer misleading information.

Use the safety-information register to identify documents and unresolved questions that need competent attention before supply. Acknowledging a missing document does not automatically make the proposed sale acceptable.

For physical scope, use the included-items schedule. If accessories were removed or added during negotiation, update the relevant records instead of handing over an earlier package description.

Keep private and operational information controlled

Remove unrelated business material through the approved process while preserving the substance of relevant reports. Do not share personal details or confidential customer work merely because they appear in the same file as useful equipment information.

Use the digital handover questions for software, accounts and stored data. A password written on the cover sheet is not a substitute for a confirmed, secure access arrangement.

Record delivery without implying certification

A receipt can show that identified documents were supplied on a date. It does not prove that every function works or settle every responsibility under the sale terms. Keep those statements separate.

Retain the final index and the appropriate seller copies in the sale file. If something is sent later, add a dated supplement and record the recipient so the history remains clear.
