Do not assume a vehicle can be sold because it is parked at your depot, carries your branding or appears on an internal asset list. Identify the acquisition arrangement and check the relevant agreement before giving firm sale instructions.

The V5C alone does not resolve this. The Department for Transport's explanation states that the document is not proof of ownership. Use the broader vehicle ownership file to connect the vehicle to acquisition records, agreements and authority.

Sort the fleet into four working categories

These are working labels, not legal conclusions. Different finance arrangements have different terms. A balance shown as zero in one internal system is not a substitute for resolving the relevant lender's position.

Ask for vehicle-specific confirmation

When contacting a provider, identify the registration and any contract or asset reference. Ask what must happen before a proposed disposal and what evidence they will provide. Keep the response with the vehicle file.

If a settlement figure is supplied, note its conditions and validity rather than treat it as permanent. Ask the appropriate adviser or provider how the agreed sale sequence should work. Do not promise the buyer clear title based on an informal telephone recollection.

An internal approval should identify the company giving the instruction. Groups of related companies may use the same brand while holding separate agreements. The person arranging the sale needs to know which entity has the relevant rights and responsibilities.

Put unresolved vehicles on hold visibly

Add the status to the fleet disposal register and assign a person to the outstanding enquiry. Keep the vehicle separate from any firm availability claim until the position is resolved.

This does not mean abandoning the rest of the project. Vehicles with a clear, reviewed position can be considered separately. An unresolved leased specialist van should not disappear inside a large combined lot.

Agree the sale sequence after the evidence arrives

Keep the record of required consents, settlement steps and release conditions. Check that the people handling payment and collection understand any dependencies. Seek legal or finance advice where the agreement or proposed sequence is unclear.
