Use one handover record per vehicle. It should show which vehicle left, who was authorised to collect it, what accompanied it and which tasks remain open. A signature beside "vehicle collected" is too vague when documents or accessories will follow later.
Prepare the record from the final sale description before collection day. Depot staff should not have to reconstruct the agreement while a haulier is waiting.

Keep personal information proportionate and stored appropriately. The record supports the transaction; it should not become an unnecessary copy of everyone's identity documents.
Resolve release conditions before giving up the keys
Follow the actual sale arrangement for payment clearance and authorisation. Do not infer release approval from an email shown by a collector or from a vehicle appearing as sold on a screen. Confirm the agreed process with the organiser in advance.

Hand over what was described
Use the keys and accessories inventory to count the actual items. If something is missing, record it as an exception and contact the organiser. Do not substitute a different cable or key because it looks similar.
For documents, distinguish an original handed over from a copy supplied electronically. State any promised follow-up precisely. Keep a record of the description and evidence supplied to the buyer.

Close data and administration separately
Obtain the responsible person's confirmation that the fleet data-clearance tasks are complete. ICO's asset management guidance supports keeping evidence of authorised disposal rather than relying on an informal assumption.
Assign and track the DVLA notification. The official transfer guidance explains the applicable route and the non-transfer of vehicle tax. Keep its confirmation with the sale record when the task is completed.
If an exception remains after collection, leave it open with a named owner. "Collected" and "file complete" should be separate statuses.
