The final readiness review before you instruct an equipment sale

Before instructing an equipment sale, review the scope, authority, evidence and practical availability together. The decision may be to proceed with the confirmed assets while holding others, or to resolve a material question first. Readiness is not measured by how many checklist boxes are complete.
This is the review before the sale instruction. It is different from the later auction-day approval of an already prepared catalogue and sale programme.
Record the meeting outcome
| Review area | Evidence considered | Decision to record |
|---|---|---|
| Authority and ownership | Approved roles and relevant records | Confirmed assets or named holds |
| Sale scope | Included, retained and third-party items | Exact inventory version approved |
| Identity and condition | Checked descriptions, photographs and known limits | Claims supported and questions still open |
| Safety and technical issues | Relevant advice, reports and unresolved concerns | What needs further competent confirmation |
| Access and timing | Remaining use, site constraints and proposed dates | Confirmed or conditional availability |
| Commercial instruction | Proposed route, terms and decision limits | What the sale manager is authorised to do |
| Remaining actions | Dependency register | Owner, next date and consequence of delay |
Record the people present and the authorised decision-maker. A useful meeting record states what was approved, not merely that the group discussed the sale.
Treat holds as specific instructions
A hold should identify the asset, reason, person resolving it and next check. For example, an unresolved ownership record should not disappear into a general note that paperwork is incomplete.
Use the internal-approval guide for the authority process. Do not infer permission from attendance at a meeting or from someone offering to help gather information.
The preparation checklist supplies the underlying working states. At this meeting, confirm that the evidence supports the current state rather than repeating the entire preparation programme.
Check conditions before calling a date firm
Use the dependency register to identify assessments, records or access decisions still outstanding. If the proposed start depends on one of them, make that condition part of the instruction.
A fictional example is a sale list approved commercially while one machine still awaits a material technical answer. The instruction should identify that machine's hold and the activity affected, instead of treating approval of the list as permission to proceed with everything.
Send a bounded instruction
Use the first-enquiry information guide to ensure the sale team has the current inventory and useful evidence. Distinguish a request for an initial proposal from authority to market or accept offers.
Discuss the review outcome with UK Auction Group. Confirm the proposed scope, current limits and next decisions in writing through the agreed route. A clear instruction lets practical work begin on the right basis while unresolved matters remain visible and assigned.
