Managing a business closure sale from another location

Remote oversight needs a reliable person on site and a clear route for decisions. Photographs and video calls can help you understand progress, but they do not replace the competent people required for site work.
Agree what the site contact can confirm, what they can approve and what must come back to you or an adviser. Keep those responsibilities separate; someone may be able to photograph a lot without authority to accept an offer for it.
Assemble a remote oversight pack
Current inventory. Use one dated list with asset IDs, lot numbers, location and status. Link photographs to those references rather than sending unlabelled image collections.
Contact sheet. Name the site lead, sale manager, authorised decision-maker and relevant advisers. Include agreed cover when someone is unavailable.
Approval record. State the limits actually authorised: which decisions may be made locally, which need referral and how written instructions are recorded. Do not invent a standard financial threshold.
Dates and dependencies. Show viewing windows, remaining work, collection restrictions and premises deadlines, with uncertain dates marked.
Exception log. Record the issue, evidence, responsible person and next update. This should be short enough to read before the next decision call.
Use the internal sale-manager guide to assign the coordination role. One person should maintain the current pack, even when several people contribute evidence.
Request evidence that answers a question
'Please send more photographs' is less useful than 'please show the serial plate and confirm whether the labelled accessory remains with lot 12'. Define what you need to decide before requesting a visit or report.
A simple progress note can follow this pattern:
Since the last update: [confirmed changes]. Decisions needed: [specific questions and dates]. Current blockers: [issue and owner]. Evidence attached: [asset references and document versions]. Next site activity: [agreed task and contact].
Avoid treating a photograph as proof of matters it cannot establish, such as safe isolation, ownership or cleared payment. Obtain confirmation from the person responsible for that aspect.
Control changes across locations
If the closure is only one part of a continuing business, use the single-location closure register to distinguish sale assets from internal transfers. Remote teams can otherwise mistake an item moved to another branch for an unrecorded collection.
Keep the evidence in the asset-sale project file. Decisions scattered across personal messages are difficult for another person to follow if you become unavailable.
Agree escalation for material changes: a new fault, unavailable access, disputed ownership or a missed deadline should reach the responsible decision-maker promptly. Routine completed tasks can wait for the planned report.
